The right one depends on what you sell, how many outlets you run, how you take payments and how much of your daily routine is unusual. A café with a kitchen screen and a shop with 3,000 barcoded items need different things, and a good choice for one is a poor choice for the other.

This guide compares the main kinds of POS you will meet in Singapore, names the providers most often considered, and shows what to check on cost, contracts and records. We start with a short list of questions, because they remove half the vendors before you look at a single price.

What do you sell? Retail needs barcode handling, stock variants and often online stock syncing. F&B needs table management, menu modifiers and kitchen routing or a kitchen display.

How many outlets? One outlet can run on almost anything. Two or more outlets need central reporting and shared stock.

How do customers pay? Cards, PayNow QR, e-wallets and cash all need to reconcile into one daily report.

What happens when the internet drops? Ask each vendor to show you offline selling, not describe it.

What must reach your accountant? Sales, GST and payouts should flow into your books without retyping.

Write your answers down in one page. Every demo you book afterwards should be run against that page. Ask the vendor to walk through your real menu or your real product range, including your odd cases: split bills, returns without receipts, bundle discounts, staff meals.

That last point matters most. The best system is rarely the one with the most features. It is the one that handles your daily exceptions and your reporting needs from the first day.

The main POS options in Singapore

POS products in Singapore fall into a few types. Within each type there are several well-known names. The table groups them by what they are built for, so you can shortlist by fit.

Type

Examples often considered

Usually suits

Check before choosing

Local all-in-one POS plus payments

Qashier, StoreHub

Small retail and F&B that want one provider for software and payments

Whether you must use the provider’s payment terminal, and the payment fees

Established terminal-based F&B systems

EPOS, MEGAPOS, Eats365, Aptsys

Restaurants and cafés, multi-outlet groups, higher volume

Hardware purchase or rental, contract length, support hours

Global cloud POS

Shopify POS, Square, Lightspeed, Clover

Retailers selling online as well as in store, or those starting light

Whether features and pricing apply to Singapore, since some pricing pages are not Singapore-specific

Retail-management suites

Octopus, iVend, Edgeworks

Larger retail with many SKUs and outlets

Per-device licensing, minimum commitments

Payment-first tools

HitPay and similar

Pop-ups, hawkers, micro-merchants

Light POS features, so stock control is limited

Adapted or custom POS

POSFlow from us

Businesses whose process does not fit a standard system

Scope agreed in writing before build

This is a map, not a ranking. Names appear because Singapore buyers commonly shortlist them. We do not publish their prices here because plans, hardware bundles and payment rates change often. Ask each for a current written quote.

Local all-in-one systems

Providers such as Qashier and StoreHub bundle POS software with payments and, in some cases, terminals. The appeal is simplicity: one invoice, one support line, one set of reports. The trade-off is that your payment rates and your software are tied together, so leaving later means changing both.

Terminal-based F&B systems

EPOS, MEGAPOS, Eats365 and Aptsys have long histories with Singapore restaurants and multi-outlet groups. They are strong where hardware-heavy, high-volume service matters: kitchen printers, queue handling at the pass, several tills. Expect more upfront hardware and a longer contract than a tablet-based system.

Global cloud POS

Shopify POS suits shops that already sell online, because stock and orders sit in one place. Lightspeed targets retailers with more complex inventory. Square is often tried first by small shops. Clover is common abroad, but check that the plan and rates you read about are the ones offered to a Singapore merchant.

Retail suites and payment-first tools

Larger retailers with many outlets look at suites such as iVend or Edgeworks, which license by device or user and usually come with minimum terms. At the other end, payment-first tools like HitPay suit a stall or pop-up that mainly needs to take PayNow and cards. If you are weighing that route, our comparison of Stripe and HitPay fees and the POS workflow around them shows what to check on the payments side.

Retail and F&B need different things

Retail should prioritise:

barcode scanning and stock variants (size, colour, batch)

reorder alerts and stock counts

stock syncing if you sell online or in several shops

returns, exchanges, gift cards and discounts

If barcodes are new to you, our guide to barcode inventory tracking for SMEs covers what to set up first. If you run more than one location, syncing inventory across locations is best started with a one-site pilot.

F&B should prioritise:

table management and bill splitting

menu modifiers (no onions, extra shot, set meals)

kitchen display or kitchen printer routing

QR ordering if you have staffing gaps

Pop-ups and hawker stalls need speed and low setup. A phone or tablet, a PayNow QR and a simple sales report may be all you need.

If you run a mix, such as a bakery that sells packaged goods and takes café orders, test the mixed case in the demo. This is where standard systems most often struggle.

Cloud, traditional or hybrid

Cloud POS runs on an iPad or Android tablet, updates automatically and lets you see sales from your phone. Traditional POS uses dedicated terminals and keeps software and data on site. Hybrid systems keep taking orders offline and sync when the connection returns.

Cloud suits most small businesses because it avoids high upfront hardware cost and gives remote reporting. Traditional or hybrid is worth the extra cost where an outage during a lunch rush would be expensive.

Whichever you choose, ask one question: what exactly still works when the internet is down? Can you take card payments? Print to the kitchen? Close the day? Ask for a demonstration with the router unplugged.

What a POS really costs

The monthly software fee is only one line. A fair comparison puts five lines side by side:

Software: per outlet, per device or flat, monthly or yearly.

Hardware: an existing tablet may be enough, or you may need terminals, receipt printers, cash drawers, scanners or kitchen screens. Ask whether hardware is bought, rented or bundled, and what the warranty covers.

Setup and training: is it included, or charged by the day?

Payment processing: usually a percentage of every card, QR or e-wallet transaction. For many shops this is the biggest cost across a year.

Support: hours, channels, and whether on-site help is available.

A worked example of the method: take last month’s sales by payment type, apply each vendor’s quoted rate to each type, add the software and hardware cost spread over the contract, and compare the totals. A system with a cheap monthly fee and a higher card rate can cost more than a pricier system with lower rates once your volume is high.

A proper written quote should name software licensing, hardware warranty, implementation and training scope, payment reconciliation fees and support levels. If a quote is vague on any of these, the gap usually turns into a charge later.

Grants and records

For years, many Singapore SMEs offset POS costs through the Productivity Solutions Grant. Enterprise Singapore states that PSG and EDG ceased on 29 September 2026 and that businesses should apply for grant support under EDGE from 30 September. Do not count on a PSG discount in any quote you receive. Check Enterprise Singapore’s page for the current scheme and its eligibility rules before you commit.

Records are the other requirement. IRAS says businesses are responsible for keeping records for five years, and that electronic records need controls to keep them intact, complete, accurate, available and reliable, as set out in its record-keeping guide for GST-registered businesses. In practice, this means your POS must let you export sales data in a usable form, and you should be able to get it out if you ever change provider.

If you are a food business, IMDA’s Industry Digital Plan for Food Services describes a connected suite that links front-of-house and back-of-house operations, with data analytics and a data-protection roadmap. It is a useful picture of where a POS sits in a wider setup. For retail, IMDA’s Essential Business guidance describes integrated inventory and sales systems using barcode or RFID tracking with POS integration.

Where POSFlow fits

POSFlow is our retail POS for Singapore SMEs, built to keep the whole operation in view rather than just the till. It suits you if:

your process does not match the standard flow of a packaged system

you want sales to reach your accounting without re-keying

you want changes made to the system as your business changes, not a workaround

We do not publish a fixed price for POSFlow. The cost depends on the setup and any adaptation your workflow needs, and we give you a clear cost direction before any build starts.

If you are not sure whether a ready system or an adapted one is right, read our practical guide to POS customisation for SME owners. If you already use accounting software, pilot one sale first to get POS accounting integration running in days rather than weeks.

POSFlow is not the answer for everyone. A hawker stall that only needs PayNow and a daily total is well served by a payment-first tool. A large chain needing a full enterprise suite should look at those suites. For the middle, where the workflow is the difficulty, we are a strong option.

Our perspective: fix the workflow before buying the software

Most POS problems we see are not software problems. They are workflow problems that a new system carries over untouched. A shop buys a popular POS, finds that returns, deposits or bundle pricing do not fit, and then spends months on spreadsheets beside it.

So we start with a review of how work actually happens: who takes the order, where stock is counted, how the day is closed, what your accountant needs. Then we recommend the simplest suitable route, in this order:

A ready-made product, if it already fits.

An adapted product, if it fits with a few changes.

A custom build, only if the first two would cost you more in workarounds.

That order is deliberate. It keeps cost down, and it means you are not paying for a build you did not need. Sometimes the honest answer is that a standard system from another provider is the right call, and we will tell you so. Our app fit review is free, it is confidential, and you do not need a technical brief to start.

The most useful habit when buying a POS is to test it on your worst day, not your best one. Bring the awkward order, the refund, the power cut. If it handles those, the easy days take care of themselves.

— Ronald

Questions to ask before you sign

Print this list and take it to every demo. Get the important answers in writing.

Fit: Can you show my real menu or product range, including my awkward cases?

Support: What are your support hours? Is on-site help available, and at what cost?

Contract: How long is the term? What are the cancellation, renewal and price-change terms?

Hardware: Is it bought, rented or bundled? What does the warranty cover, and can I use devices I already own?

Payments: What are the rates for local cards, foreign cards, PayNow and e-wallets? Are they fixed for the term?

Data: Can I export menu, customer and sales history if I leave? In what format?

Resilience: What works offline? What are your backup and breach processes?

Integrations: Does it connect to my accounting software and online store?

A vendor who answers these clearly and in writing is usually one who will support you later.

Talk to us about your POS

If you have read this far and still cannot tell whether a ready system will fit, a short conversation will settle it. We look at your workflow, tell you whether a ready, adapted or custom route is the simplest, and give you a cost direction before any commitment.

See POSFlow ↗ for the product, or read about app development for Singapore SMEs ↗ if your needs go beyond a till.

FAQ

What is the best POS system in Singapore for a small shop?

There is no single best. A small shop with simple stock can start on a tablet-based cloud POS with low upfront cost. Shops with online sales should favour stock syncing, and shops with unusual processes should consider an adapted system. Shortlist two or three and test them with your real products.

How much does a POS system cost in Singapore?

It depends on software, hardware, setup, payment fees and support. Software can be free at entry level and rise to a few hundred dollars per outlet per month, and hardware can be an existing tablet or a much larger purchase. Ask for a written quote that lists every line, then compare using your own monthly sales.

Is there still a grant for POS systems?

The PSG closed to new applications on 29 September 2026, according to Enterprise Singapore, and grant support now sits under EDGE. Eligibility and support levels can change, so read the Enterprise Singapore page for the current rules before relying on any discount.

Should I choose cloud or traditional POS?

Most small businesses do well with cloud POS because it runs on a tablet and gives remote reporting. If a connection failure would badly hurt service, choose a hybrid that keeps selling offline and syncs later. Test offline mode before you buy.

How long must I keep POS sales records?

IRAS states that businesses are responsible for keeping business records for five years, and electronic records must keep their integrity and be available. Make sure your POS can export sales data in a usable format.

Sources

Productivity Solutions Grant (PSG), Enterprise Singapore

Record-keeping guide for GST-registered businesses, IRAS

Food Services Industry Digital Plan, IMDA

Essential Business, Pre-Approval ICM Vendor Guide, IMDA

Recommended

Stripe vs HitPay: 6 Fees and the POS Workflow Singapore SMEs Need

POS Customization: A Practical Guide for SME Owners

Compare the main POS systems in Singapore for retail and F&B: types, costs to check, grants, contracts and the questions to ask before you sign.

[1

post-359","post","type-post","status-publish","format-standard","has-post-thumbnail","hentry","category-uncategorized
["GET
